Thanks - I think you are just politely advising them of what you are doing - tho @island may have some valuable points to add, and requesting to pay - I'd be tempted to amend to (hope the changes are clear below) . I would presume you send this to the SWR prosecutions department or revenue protection team (or whatever they are called) or if you have to send it via Customer Services mark it clearly for the attention of the SWR prosecutions department or revenue protection team.

I hope it is clear what I am suggesting being added as well as the strikethrough for suggested deletions

Dear Sir/Madam,
URN: [ ]
SWR Prosecutions Case No: [ ]
Date:

I hope this letter finds you well.
I am writing to bring to your attention the matter regarding two letters relating to the above case that I have recently sent to the prosecution department and Magistrates’ court, copies of which are enclosed with this correspondence. I hope the content is self explanatory.

The purpose of these letters is to highlight the reasons why the prosecution against me is void.

I am mindful that the Penalty Fare and related train fare is still owed, because I have only recently found out that my original Appeal was unsuccessful. I would like to pay this sum promptly and would be grateful if you could advise how I can do this as quickly as possible.
I would appreciate it if you could facilitate the prompt payment of the original penalty fee associated with this case.
I am open to further discussions or clarifications required to expedite the resolution process.

Thank you for your attention to this matter and I look forward to hearing from you. I look forward to a swift and fair resolution.

Yours faithfully

I'm not sure if would be helpful to ask at the end if eg 'given the circumstances if SWR will consider withdrawing the court action', but others might make a suggestion on that / any amended wording.
Thanks a lot for all that it sounds a lot better! I'll send the other letters now on my lunch break as i feel they can't wait but will hold off on this one as I'm sure posting tomorrow would be fine and like you said others may suggest otherwise.

Yes, I think that is correct - get the court stuff posted and then send the letter to SWR a bit later as you suggest, so as to allow other comment to get it right. Again I guess signed for post or tracked or whatever is needed and potentially you can also send it by e-mail as well if you have an e-mail address to send it to.

Just got to the post office and for the prosecutions department there is only a free post address so I called them up and they said I can only do the freepost and send a email with the letters contents to try speed it up.

Still yet to hear anything back from SWR or the court. My 21 days period to reply to the court notice runs out in 5 days. I have proof of delivery to to the courthouse but to the prosecutions department i couldn't as it was freepost but i sent the letter on January 16th aswell as sending it via email with confirmation that it had been received and i should receive a reply in 14 days.
Any advice on further action i should take or shall i just wait it out

Thanks for update - so this means they allowed you to settle and have withdrawn court action?

I suspect you need to do a few actions to make sure all this is confirmed
eg
- keep proof of payment and receipt provided
- get something in writing from SWR to say they are taking no further action at court and have withdrawn the court proceedings
- make sure the court know this! (perhaps send something as a follow up to the court in writing / find a way to get court to confirms that from their point of view SWR have withdrawn court action)

Not sure how you do this ref the court but maybe experts on here know.

From what I recall on here if a case goes to court when it should not have done it will be complex for you to sort out later on....
