Hi everyone, i just received a letter of an incident that happened in December last year. I was coming back from a trip and I had my ticket from the Manchester airport to my city but first had to stop in Manchester picadilly and got stop outside the train by the inspector for my ticket (which was £6.75) and my railcard. My Railcard was a physical one but I can’t remember when it expired and can’t even check now cause the inspector took it from me. I only really used it when I was in uni so haven’t been checking my card at all. I also haven’t bought another one because I really don’t travel anywhere so I think it would be a waste of money. I have had it for years and this is the first time this has happened.

My railcard is a physical one which is given by Santander when you are a student and last 3-4 years, it’s not something you renew every month or every year that’s why I completely forgot about it.

I am a student and really can’t afford to pay the fee. What can I do or say?

Thank you in advance

Northern will almost certainly agree not to take you to court if you respond to the letter apologetically. Look for posts by long-standing forum member @Hadders who regularly suggests the desert of points to make.
Budget for the cost of the full fare plus an admin fee - they may be prepared to waive that but it's unlikely :(
The number of people who misuse railcards (always by accident!) is large, and train operators want to reduce the cost to them.
They will almost certainly check your travel history, and it will be good for you if they can confirm that this was the first time you travelled since the card expired, which will be about 4 years after you opened the account.

Welcome to the forum!

We see lots of cases like this on here. Unfortunately, however harsh it sounds, travelling with an out of date railcard means your ticket was not valid which is a criminal offence. Northern are entitled to prosecute you in the Magistrates Court if they want to.

The good news is Northern are normally prepared to offer an out of court settlement to people who co-operate with them, and who haven't come to their attention before. I suggest writing a short, concise reply mentioning the following points:

- That you are sorry for what has happened
- What you have learned from the incident
- That you are keen to settle the matter without the need for court action
- Offer to pay the outstanding fare and the train company's administrative costs in dealing with the matter

The bad news is that if Northern do offer you a settlement they will want you to pay the cost of the fare avoided at the full Anytime rate with no credit given for the invalis ticket you did purchase. In addition they will have tp pay an admin fee, typically around £150. Also Northern may check your online ticket purchasing account and if this shows other tickets were purchased after the railcard had expired they will probably want to factor the cost of those tickets into the settlement cost. Settlements have to be paid in full within a few days of them being offered, they won't normally allow payment by installments, so you might want to think about how you can raise the funds to pay.

If you post a draft copy of your reply in this thread forum members will be happy to proof read it for you.

I can’t really remember exactly the date it expired and because it was a physical card which I don’t have with me anymore because the inspector took it I can’t check but by my calculations I think it was October, so just a bit over a month before the incident.

Unfortunately I do think I’ve bought some tickets in that time maybe 4 Do you think I should get a new railcard to get a better chance of not going to court or is it not really necessary?

Thank you

Getting a new railcard is something you can tell them you’ve done to prevent the problem happening again. If that helps prevent prosecution (I can’t be sure but you might think it would help your case) then my view is that is £30 well spent.

This is my draft:

Dear Sir/Madam

I am writing in response to the Debt Recovery and Prosecution Unit letter dated 12/02/25. I wish to explain the circumstances of the incident that happened on the 02/12/24 in which I failed to show an up to date railcard that has been expired for a month. I sincerely apologise for this oversight, and I deeply regret any inconvenience this may have caused.

As my Railcard is a physical one from Santander which is the 16-25 that last four years without the need of renewal, I completely forgot that the four years had gone by and it had expired a month prior, this has never happened to me before but I take full responsibility for this mistake and now fully understand the importance of ensuring my Railcard is valid before travelling, I have taken steps to prevent this from happening again in the future by renewing my railcard.

I would be most grateful for the opportunity to settle this matter out of court by paying the outstanding fare difference, along with any administrative costs incurred by the train company in handling this issue or however Northern railway feels is most appropriate. Please let me know the exact amount and how I can proceed with the payment.

Once again, I apologise for this mistake and appreciate your time in reviewing my request. I look forward to your response

Should I change or add anything?

(inconvenience just isn't the right word).

Presumably because you never had one before?
But you have used the card while it had expired. Best deleted?

Thanks for the feedback, what word would you use instead of inconvenience?
