Hello
On September 2024 i took a train from brighton to london bridge, purchased my ticket on the train line app and clicked the 16-17 saver rail card option, when i was on the train a conductor came by and i showed him my ticket thinking i have a right one, he asked me for my rail card and i said that i don’t know what a rail card is, which i was telling the truth as it was my first time taking a train in the uk as a foreigner, he then asked me for some personal details and told me i will get a letter by post, after the train ride i went online to see and knew what i did wrong and saw the different rail cards one could get in the uk, and purchased an applicable one as i will be commuting from now on, but the damage has already been done, i admit it was a really stupid mistake on my part, today i saw i had received a letter from them, I’m confused if i should just reply and plead guilty and it will be sorted out by me paying the fine, or it will go to court, it’s not clear in the letter it seems i will have to wait for an actual decision form them, i also don’t know what to send out exactly do i write my case in the paper titles to be returned to court under “mitigating circumstances” or do i write it in a new paper, i also don’t quite get if i should also send out the MC100 form as well or its not required, any sort of help will be appreciated. Sorry if the attachments are too many i want to make sure my case is clear. IMG_0294.jpegIMG_0295.jpegIMG_0296.jpegIMG_0297.jpegIMG_0298.jpegIMG_0302.jpegIMG_0303.jpeg

Is this the first letter you’ve had since 12th September as that’s most unusual. The train company would normally write to you asking for an explanation of your ticketing irregularity and if you reply to that letter in a suitably contrite manner apologising for your error they would normally offer you a settlement of the cost of the avoided ticket plus an administration value of around £150 to avoid prosecution.
if you truly haven’t recieved the other letter then make contact with the train company asking them if they are prepared to offer you a settlement on the grounds that you haven’t had any previous correspondence from them, you must do this asap so that you can deal with the issue before the SJP has to be returned by.

Was this the first letter you received about it?

Contact GTR immediately and ask if you are able to settle the matter out-of-court. They will nearly always do this if you ask nicely and apologise. You'll need to pay them the money mentioned in the correspondence and then they'll withdraw the case.

Send an email, include the reference number (starting GTREMG...) in both the subject line and the body of the message, mention this is the first correspondence you received, apologise for what you did and ask if they're open to settling out-of-court. Include your full name and address and phone number - if there's anything they need to clarify they can phone you.

Keep it short and succinct.

They usually respond quickly, though some people may still be on holiday this week. If you don't hear back, then you can phone them Monday or Tuesday to check they received the email and follow it up.

i sent an email to address you provided and the automatic response reply mentioned “
This mailbox only deals with failed to carry season tickets or railcards.

It strictly DOES NOT deal with any sort of appeal, mitigation or complaints.”

should i send it to another email address or will they reply to me here

Wait and see. They should reply. Their own website tells you to use this address if you think you've missed some correspondence, which might well be the situation here as they always send a letter before issuing the SJPN that you received.

Print the e mail out. Then post it to GTR (not the court) and send it guaranteed next day delivery from your local post office.

If the GTR postal address is not on the paperwork we can find it for you. Do it before 4pm today or 10am Saturday. Get it tracked so you know it’s been delivered.

If you want the wording of you’re mail that you will print checked before sending then post it up here with you name and ref number excluded.

Include your address, your e mail and your phone number in what you send. Make it easy for them to contact you.

That's good news: obviously that now supersedes the advice about sending them a paper copy of your email.

Indeed, notwithstanding the auto-reply, GTR appears normally willing to conduct business-like (primarily procedural) communications by email. Anything that might be needed as evidence in court though needs good provenance (signed, dated) - I don't think they want an obligation to assess unsigned rambling excuses received over email.
