I can wait, it’s just driving me crazy as what if they reply late via email and they still expected something via letter? This concern is rising for me as the end date for a reply as stated in the letter is almost coming to an end.

As @Fawkes Cat pointed out in post #22 you did already reply by the date stated.

If this could be clarified by them it would help a lot, also to just close this matter I would like to reply anyway as I’m worried about the outcome and do not care to pay the £100 fee + ticket price just to end this.
I understand that this is causing you stress.

But their reply to you that you uploaded in post #15 says clearly that they will contact you again. It really is best to just wait for them to do that, see what they say at that point and come here for advice on anything to do when they send you that reply.

Tomorrow is the last day remaining based on the letter, I did not get any response by email.

I would like to reply to the letter and send it back telling them that I am sorry and would like to pay back the £100 fee and the ticket so this gets closed.

Worst case scenario as I see it is that I have to pay this fee but then the case will be closed instead of staying waiting without knowing the outcome.

Would you help me in what to write down on the letter in order to get the best outcome possible ?

Thank you

Bear in mind that the deadline is only there for their internal processes, they will have their own timescales and as you can see they are in no hurry, I imagine you are at the bottom of a long pile of cases and they are prioritising others above yours.
I only looked at this thread today and have no idea where this £100 comes from, I really don't see how you doing anything other than not replying makes any sense at this stage given the email reply you have. You want to speed things up but I doubt a new reply will do that, they might reply to say wait again and you might not move up the queue because they seem to be overloaded.
I am no expert on the consequenses of either action though so leave that to others who were prepared to help if you were set on replying again.

As we all have said, you don't need to send another reply to this letter: the railway are out of time to take you to the criminal court, and after your previous reply they have said that they will get back to you.

But you're determined to reply even though that may mean you paying them money. So if you are going to reply today or tomorrow, then

- don't forget to include the reference on the letter that the railway sent you
- tell them that this is additional to your previous email (tell them the date that you sent that)
- tell them that you are sorry that you didn't pay the right fare on 16 November 2025. You now know it's important to have the right ticket before you get on the train
- tell them you now always have the right ticket (but only say that if it's true!)
- ask if they would be willing to settle the matter for you paying the fare you should have paid, plus the costs they have incurred.
- thank them for their time in reading your email.

I expect that Southeastern will be very happy to settle the case on the above terms, although if you take our advice not to respond at this point they may well decide not to pursue the matter further.

It's the penalty fare that wasn't paid.
Are you sure about this? While I have glanced through the thread rather than reading it in detail, I don't get the impression from Southeastern's letter in post #1 that a penalty fare is involved.

If it's that I have missed something (which is by no means impossible) please point us to the post which explains that there's an unpaid penalty fare.

I do not think there was a penalty fare in this case. I suspect the op has conflated info they have seen about penalty fares eg on posters at station with the situation they are in without necessarily knowing that such a sum will necessarily apply in this case.
