Hello everyone. Recently I received a letter from thameslink regarding notice of intention to prosecution.
On 9 May I was travelling from Horsham to Farringdon without a ticket which was a stupid thing.im very ashamed for this act.upon inspection I tap my card on his device and was declined and he reported me.So I need your help I have to write them letter .

Dear sir/madam


Thank you for your letter dated xxx.ref number xxx. I am writing in response to this letter and the incident on xxx where I was approached on the train near East Croydon by a member of Revenue Protection Team and failed to produce a valid ticket when asked.I was travelling from Horsham to Farringdon I didn't have the valid ticket for the journey.

I take full and total responsibility for my actions and for travelling without a valid ticket.

I sincerely regret my actions in travelling without a valid ticket. I now fully understand the impact and repercussions of not paying the correct fair to both rail company and fellow passengers and I'm truly sorry. I have learned a very valuable lesson here and I would like to assure you that this will not happen again.

I would be extremely grateful if you would consider resolving this matter through an out of court settlement. I'm full willing to pay the outstanding fare and all administration fee and will do so promptly.

Looks OK to me - but while GTR almost always agree to settle, they may well check your travel history first, and come back to you about other fares you might have underpaid.

They usually settle out of court unless there are exceptional aggravating circumstances e.g. failure to engage, assault, abuse, persistent fare evasion over many months.

That will be absolutely fine. There's a fair chance that the envelope will be separated from the letter and thrown away when it gets to the railway's post room - and even if it isn't, I would be staggered to see any caseworker making a decision on the basis of the envelope you used.

Perhaps more important than the envelope is to send it tracked postage if you can. So you can show it got there if you needed to do so.

Draft looks ok I think. In the address bit at the top and on the envelope I think also include
‘Govia Thameslink Railway’ underneath Prosecutions Department

In case there are other sections in the east side offices building.

Only a minor thing.

If you don’t need to send it today you can wait a bit to see if other people have any suggestions.

You can use tracked postage by taking it to a post office and asking them for that. They will give you a slip with a tracking number you can use on line to check progress of delivery. Tracking is cheaper than gauranteed next day delivery.

No need to include the prosecution letter as long as the reference number of the case is included.

You can enclose it but if you do make sure you write ‘please see attached response’ on their letter. Make sure your reference number is on every page you send them and keep a copy of every page in case you need it.

No. You need to write 'please attached response' on the letter from them that you are asked to return if you are returning it. So they know you have not sent back a blank letter, if the different pages get separated in their office.

You want to avoid them getting confused if different pages get separated in their systems. Imagine an office where a lot of these response letters arrive every week - it's about making everything clear and simple as possible for the staff in their office. So if anything did get separated by writing 'please see attached response, the person dealing with it would know to look for a missing attachment.

OK - then you do not need to write 'see attached paperwork' on anything if you are not attaching anything that you put in your envelope to them.

So you should remove that line from the draft reply that you have uploaded in your image.
