You need to chill a bit and wait for a response.
Thank you with the advice from you and the experienced advisors here, I feel much more relaxed now. I believe I’ve done everything I can at this stage, so all that’s left is to wait until Monday.

Wishing you a very nice weekend. :)

Thanks - yes I think you have done all you can do at this stage

It was this thread where things were a bit similar to yours for the person in the run up to Christmas - but unfortunately they did not update their thread after we gave advice - I just asked what happened but I doubt they will come back and update after this time unfortunately.

Thank you for quoting this thread! I was checking this one too and did see you asking them for the results. Hopefully they have settled and I can settle with GTR too.

subject line e-mail title : Urgent Request to Settle out of Court due to imminent court action - case ref xxxxxxx.

Dear Sir / Madam

Your case ref: xxxxxxxxxxxxxxx [include the reference number(s) on their paperwork]

Name and address xxxxxxxxxxx,

I am hoping you can consider this urgently because if have received SJPN court paperwork and have an imminent deadline to return this paperwork.

I am respectfully asking if you will allow me to settle this matter out of court, and withdraw court action.

Please be assured that I never had any intention to avoid paying for the correct rail fare.

I replied to your original correspondence about this on 15 December 2025 but I am concerned that you perhaps never received my response, as I received SJPN prosecution paperwork on 28 January 2026. I wrote again on 3 February 2026 - copy attached for your ease of reference - explaining that I misunderstood the validity of my Oyster Card (I am not a UK citizen) but I did not intend to evade the fare, and that I would be very grateful if you could let me resolve the issue by paying any fare owed plus your administrative costs.

Once again, I am sorry for this incident and promise this action will not happen again.

I would be very grateful if you could consider withdrawing the court action. I am willing to pay any unpaid fare plus your investigation costs in order to reach a settlement out of court.

I would greatly appreciate you considering this request as quickly as possible due to the impending date for return of court papers.

In case it helps I can be contacted as below:

By e-mail: xxxxx

By phone: xxxxx

By post at: xxxxx

Yours faithfully
Hello everyone,

Based on the advisor’s suggested draft, I have prepared the following message. I would really appreciate it if someone could kindly offer any feedback.

I am planning to send this to GTR this afternoon as a chase email — would this be appropriate?

Any comments or suggestions would be very gratefully received. Thank you.

Dear Sir / Madam,

Case reference: XXXXXXX
Name: [Your full name]
Address: [Your address]

I am writing to urgently request whether this matter can be settled out of court, as I have now received an SJPN and there is an imminent court deadline.

I respectfully ask if you would be willing to allow an out of court settlement and withdraw the court proceedings. I fully appreciate the seriousness of the situation and am willing to pay the outstanding fare and any reasonable administrative costs.

I replied to your original correspondence on 15 December 2025, but I am concerned that my response may not have been received, as I subsequently received SJPN paperwork on 28 January 2026. I therefore wrote again on 3 February 2026 (copy attached for ease of reference)

I would be very grateful if you would allow me to resolve this matter by paying any unpaid fare together with your reasonable administrative or investigation costs, in order to reach an out of court settlement.

I am sincerely sorry for this incident and can assure you that it will not happen again.

Given the impending deadline for returning the court papers, I would greatly appreciate it if this request could be considered as a matter of urgency.

If helpful, I can be contacted as follows:

By email: xxxxx
By telephone: xxxxx
By post: xxxxx

Yours faithfully,

It’s a good start but a bit long and repetitive. My edits below:

Looks good to me. I’d wait for others to weigh in before sending though, there’s no rush, it’s Sunday!

Thank you very much for your advice — it has been extremely helpful. I will wait a little and send it later this evening.

Many thanks again. :)

Might be better to send at start of Monday eg sometime after 9.30am.

Bit of a total guess but maybe sitting in an inbox with lots of other stuff that arrived over the weekend is less likely to catch the eye of the person who monitors the in box when they are actually at work and potentially monitoring it.

Thank you for the suggestion — that makes sense. I will wait and send it on Monday morning after working hours begin, so it is more likely to be seen. I really appreciate the advice.

I think I could also print it out and send a copy by next day tracked delivery, to make sure it reaches the right department as quickly as possible.

I wonder if you should also explain that you will be out of the country for a couple of weeks, giving the exact dates. This will hopefully do two things:
1. Alert them to the fact that you may not be able to respond quickly if you are away;
2. If they think you may be leaving the country permanently at some stage, they may want to conclude this quickly so that they can resolve this case and get their cash before you are out of their reach.

Thank you very much — that’s a great suggestion and something I hadn’t considered. I really appreciate it.

I will revise the draft later to include this point, and I would be very grateful if anyone could take another look and offer any further suggestions or improvements. Thank you very much. :)

Yes. Print it out too and indeed send it next day delivery by post because of the way GTR say they don’t accept stuff by e mail. So do both as we do see them occasionally dealing with urgent matters by email but it can’t be gauranteed.

I just wanted to ask, based on your experience, how likely is GTR to reply to settlement requests by email?

My main concern is that if they decide not to agree to a settlement, they might simply continue with the court process without responding by email, or that they may strictly follow their policy and not deal with settlement requests via email at all.

I have sent both an email and a letter by post, but as the court deadline is approaching, I am a bit anxious about whether I can realistically expect an email response.

Any insight from your experience would be greatly appreciated. Thank you.

Hi everyone,

I’ve slightly revised my draft settlement request and would really appreciate any feedback.

In particular, I wanted to ask whether mentioning that I will be travelling abroad for a short period might come across as pressing or as putting pressure on GTR, which is absolutely not my intention. I included it purely as a factual note in case it is relevant to the timing of correspondence.

I’d be very grateful for any thoughts or suggestions based on your experience. Thank you very much.

Yours faithfully,
I don’t know how likely they are to reply to an e mail. We sometimes see them doing it in urgent cases tho. So it’s possible.
But it’s the reason for also posting your message to them.

== Doublepost prevention - post automatically merged: ==

I think your wording explaining when you are out of the uk is fine. It should be of help to them to know this.

Maybe as an add-on to your sentence, ask if a response can be sent by email so that you can more easily access it. If you don't ask, you don't get!

Urgent request Out of court settlement - Ref XXX

Dear Sir/Madam,

Ref: [Reference number]

Address: [Your address]

I am writing to respectfully request that this matter be considered for an out-of-court settlement, as I have now received a Single Justice Procedure Notice and there is an imminent court deadline.

I received the NIP, to which I replied on 15 December 2025; however, as I subsequently received the SJPN paperwork on 28 January 2026, I am concerned that my response may not have been received. I therefore wrote again on 3 February 2026 (a copy of which is enclosed for ease of reference), which was also sent by post and delivered on 4 February 2026.

I am sincerely sorry for this incident and fully accept that my actions were wrong. I now understand the ticketing requirements and have taken steps to ensure that I always purchase the correct ticket before travelling in future.

I would be very grateful if you would consider allowing this matter to be resolved without court proceedings by permitting me to pay the unpaid fare together with any reasonable administrative costs incurred.

I would also like to make you aware that I will need to travel to my home country between 6 March and 21 March 2026 due to personal reasons. I mention this only in case it is relevant to the timing or method of any correspondence.

If possible, I would be grateful if any response could be sent by email, as this would allow me to access correspondence more promptly given the court timetable.

I respectfully reiterate my hope that this matter may be settled out of court, and I would be very thankful for your consideration.

Thank you for your time.

Given that the email and physical letter were only sent less than a week ago I think it's premature to be sending another email to GTR.

As the dealine for the return of the SJPN paperwork is 18th February I suggest waiting until Friday 13th and if you haven't heard anything by then update us and forum members will be able to assist with next steps.

Thank you very much for your advice. I was just wondering whether sending a follow-up might come across as too pressing or as putting pressure on GTR.

But I am still not sure/considering sending a follow-up tomorrow, and if I still haven’t received a response by Wednesday, possibly seeking advice from a solicitor. Would waiting until Friday be too late, or would you recommend holding off on a follow-up for now and only chasing or contacting a solicitor if there is still no reply by Wednesday?

Because I have seen many people on the forum receive a settlement response quite quickly, I am becoming a little concerned as it has now been over three days and I have not yet received any reply to my email.

Yours faithfully,
I wonder if this draft is becoming longer than it needs to be or is desirable.

The aim is to stress the urgency of a reply to the letter sent on 3rd Feb before having to return court papers later in the week. That’s the nub of the point to make.

Apologies for the ticketing error have been covered in the letter of 3rd Feb (which will be enclosed / attached) so they can probably be largely edited out of this because it’s repetition of the previous letter’s content.
There may be other ways to shorten it a bit too.

Yes. I’ll have a look.
In the light of the advice from Hadders in post 47 are you ok to pause sending anything to GTR this morning or perhaps at least not sending anything today?

Hi - below is a slightly amended version of the message you could send them if you have not heard in the next few days (by e-mail and also post next day delivery)

If the deadline for the SJPN papers to be received back at the court is 18 February then I think you would need to post your court papers back on Monday 16th February using next day delivery.

That means you probably need to be sending this e-mail / letter to GTR on 11th or 12th of February this week really so it gets to GTR with a bit of time of them to notice it and act on it before sending it off.

Then what if you do not hear back from GTR by Monday 16th Feb? - I suspect this is the point when you probably have to fill in your SJOPN papers with a 'Not Guilty' pleas and a request for the case to be heard in person in court at a future date (ideally thus creating more time to allow GTR to reply before that court date actually happens)

I did respond to your original letter on 15 December 2025, but I am concerned it may have got lost. Having received the received the SJPN on 28 January 2026 I wrote again on 3 February 2026, a copy of which is attached for ease of reference.

As requested I would be very grateful if you would consider allowing this matter to be resolved without court proceedings by permitting me to pay the unpaid fare together with any administrative costs incurred in the hope the court action can be withdrawn.

I respectfully reiterate my hope that this matter may be resolved by way of an out-of-court settlement, as I never had any intention to evade paying my fare.

I'm suggesting that the OP sends this 'reminder' message / letter to GTR in next couple of days (assuming they have not had a reply from GTR by then of course) as if they have not heard anything from GTR by 13th or 14th feb then the only thing they can do at that stage relates to the court papers (unless I am missing something?) - in terms of the plea they intend to make on court paperwork - as they will have to complete and send that paperwork on 17th or 17th feb at the latest.

I am writing to respectfully request if this matter be considered for an out-of-court settlement, as I have now received a Single Justice Procedure Notice and there is an imminent deadline to return the court papers, hence the urgency of my request.

If possible, I would appreciate any response being sent by email, given the urgency created by the court timetable.

I respectfully reiterate my hope that this matter may be resolved by way of an out-of-court settlement, as I never had any intention to evade paying my fare.

Thank you very much for your time and consideration.

Yours faithfully

I'm suggesting that the OP sends this 'reminder' message / letter to GTR in next couple of days (assuming they have not had a reply from GTR by then of course) as if they have not heard anything from GTR by 13th or 14th feb then the only thing they can do at that stage relates to the court papers (unless I am missing something?) - in terms of the plea they intend to make on court paperwork - as they will have to complete and send that paperwork on 17th or 17th feb at the latest.
Hi everyone, thank you so much for giving me so much advice and support.

I reached out to Manak Solicitors for assistance already, and my case has been settled with GTR with the total amount of 166.80

Thank you for your help and support and everything!!

Good luck to everyone!

Thanks for the update - Manak do have a good record of speedily resolving cases so good to hear they have achieved this for you. Needless to say keep copies of all the paperwork about this and keep it long term, in the unlikely event you ever need it again.

Hope you didn't have to pay too much for the legal help required, but hope this gives you the peace of mind you will have been looking for.

Plus what you are paying Manak for their services?
That’s only for GTR settlement

I paid Manak 200 for consultation and 600 for settlement negotiations

Yes, that’s what I was hoping for. I paid Manak 800 in total (consultation and settlement negotiations) but get this sorted and finally no need to worry about court pack. Btw Manak settled this in only 2 hours I cannot imagine.

I have kept the records of payments with GTR.

Thank you for your advice and help during this case!!

I can imagine this being worth it for some in this situation, glad to hear it’s been resolved. Thank you for sharing the update and amounts you’ve paid, it’ll be really helpful for us in future!

No worries!

Also GTR seem to have charged £150 admin fee here which is interesting. They seem to usually charge £50 admin fee for single incidents, but maybe the £150 here is due to the issuing of court papers? However as that’s due to their own backlog that doesn’t seem very fair. Little about this whole process is fair though.
