You and @SECR 65 make very valid points. The portal is less hassle for me and that makes the most sense to me. Thank you both

Please see my draft below. I am open to all amendments and suggestions:
Dear Thameslink Revenue Protection Team,
I am writing proactively upon receiving an intent to prosecute notice, and ahead of any formal prosecution being issued, to address the matter of travelling with an expired railcard and to respectfully request that this matter be resolved without the need for court proceedings.
I wish to be completely transparent and take full accountability for what occurred.
I hold a railcard which, I now understand, expired in February 2026. When initially questioned by your revenue protection inspectors, I incorrectly stated that my railcard had expired in December 2025 — this was a genuine error on my part, as I had confused it with a previous railcard. I sincerely apologise for this inaccuracy and want to be clear that it was not an attempt to mislead.
I had purchased a valid ticket for my journey. At no point was I attempting to evade my fare obligations. My railcard had lapsed solely because I had missed the renewal notification during an exceptionally demanding period at work involving significant travel commitments. This was entirely my oversight and I accept full responsibility for it. Upon becoming aware that my railcard had expired, I renewed it immediately. My valid railcard number is: [railcard number]
I fully understand that travelling with an expired railcard is a breach of the conditions of carriage, regardless of the circumstances surrounding it. I am not seeking to minimise this. This will never happen again I can assure you.
I would like to request to settle this matter out of court and am prepared to pay the full undiscounted fare difference, any applicable administrative charges, and a reasonable settlement fee. I would be grateful if you could advise me of the total amount required to resolve this matter at the earliest opportunity.
Suggested minor amends below - hope the add ins are clear as well as the strikethroughs. I've removed the bit about travel commitments because they might think it means lots of train travel that was wrongly discounted and start trawling for more fares to charge you for as part of the settlement (they might do this anyway but no benefit in suggesting it to them as it were
Hope this helps.

Thank you for updating us, and crikey, that is astonishingly low. That is very useful information, as it would seem to suggest a change of policy for GTR as there is no admin fee added.

@KwoliBlack. Good stuff! What was the actual journey in question? Knebworth to London Terminals or maybe Knebworth to London Thameslink (one-way)? Or perhaps something else?
Good news indeed!
I think that’s a record low sum on this forum
Seems a bit daft to say this but keep a copy of all the paperwork and your proof of payment of that sum and keep it long term ie over a year in the unlikely event you ever need it for proof.
