Hi Everyone,

I got a notice of intended Prosecution from chiltern railways. The Issue happened on Thursday 9th of April 2025, when i was on my way to Warwick, had a westmidland all zones pass which i use for all west midland zone when on the train i just show them my pass once they request for ticket, but when i showed my pass the revenue person said it was for all west midland and it was not valid to warwick which i did not know because i have used it to go to coventry before, he said the zone ends in Dorridge, i was not aware about this, I then asked to get the ticket for the remaining two stops but he said he dose not have a ticket machine that what i should do is when i get to Warwick i should just get a ticket there, which i did and that if they send me a letter i should send the evidence of the ticket. I am asking how Should i go about this.

Do you have another n-train ticket? That one says 'valid until 7th April' but this was the 9th.

As to what to do, I think you've answered your own question - reply saying that you were instructed by the inspector to buy this ticket at Warwick, which you did, which means you paid the correct fare on the day and so no further amount is owed, and you were told by the inspector that if you received a letter to send this ticket in (a copy - keep the original yourself - and include a copy of the right n-train one too) and as you are doing this now please confirm the matter is resolved. (To that you can explain briefly the circumstances and add a short apology etc.)

When responding it would be wort posting a draft of the proposed reply here so people can check the wording is as clear as it can be and uses correct railway terminology where required.
People will be happy to help check it.

Hi Guys,
Good evening, this is the response i have drafted

I am writing in response to your Notice of Intended Prosecution regarding my journey on 9th April 2025 between Birmingham Moor Street and Warwick. I sincerely apologise for this incident and would like to explain the circumstances that led to this misunderstanding, along with providing evidence that the correct fare was ultimately paid on the day of travel.

On Thursday 9th April 2025, I was travelling to Warwick using my West Midlands All Zones pass. I deeply regret that I was not fully aware of the exact boundaries of the West Midlands zone coverage. I had previously used this pass successfully for journeys within what I believed to be the West Midlands area, including to Coventry, which led me to assume it would be valid for the entire journey to Warwick. When the revenue protection officer requested to see my ticket, I presented my West Midlands All Zones pass in good faith. I am truly sorry for the confusion this caused. The officer kindly informed me that the pass was not valid to Warwick as the West Midlands zone ends at Dorridge. I was genuinely unaware of this limitation and sincerely apologise for my mistake. As soon as I learned this, I immediately offered to purchase a ticket for the remaining portion of the journey from Dorridge to Warwick.

The revenue protection officer was very understanding and professional throughout this interaction. He advised me that he did not have a ticket machine available and kindly instructed me to purchase the appropriate ticket when I arrived at Warwick station, which I did immediately upon arrival. He was considerate enough to tell me that if I received any correspondence about this matter, I should provide evidence of having purchased the ticket at Warwick as proof that the correct fare was paid.

As instructed by your officer, I purchased the required ticket at Warwick station on the same day, thereby paying the correct fare for my journey. I am enclosing copies of both my West Midlands All Zones pass and the ticket purchased at Warwick station as evidence that the appropriate fare was paid on the day of travel. Given that I followed the explicit instructions of your revenue protection officer and paid the correct fare on the day of travel, no further amount is owed.

I am truly sorry for any inconvenience this incident may have caused and for my lack of awareness regarding the exact zone boundaries. I take full responsibility for not being better informed about the limitations of my travel pass. I very much appreciate your time in considering this matter and hope you will understand that this was a genuine mistake made without any intention to avoid paying the correct fare. Thank you for your patience and understanding in resolving this matter.

It's a bit wordy, can you cut it down a bit?
oh ok.

here is a more abridge version

It’ll be interesting to see if they accept the OP’s word here. Obviously this is a completely improper way for an RPI to deal with the situation and certainly not what they’d be trained to do.

I think the letter is fine.

Its a good letter but I would tweak the end bit as it sounds like you are telling them the regs (when the jist of your letter is that you didn't know the regs of your own ticket...)

so instead of:

Given that I followed your officer's instructions and paid the correct fare on the day of travel, no further amount is owed.

what about:

'Given that I followed your officer's instructions and then paid the correct fare on the day of travel I believe I have correctly followed the instructions given by a member of railway staff on how to regularise my travel ticket and I would be grateful if you could confirm this closes the matter and that I do not owe anything further.'
