do on spot fine stay on the sytem?

Just wondering if on the spot fines stay in the TOC's system and if they do how long? is it one year and would this be one year after the fine was issued, or when the year changes from 2018 to 2019 for example. Thanks

There is no such thing as an "on the spot fine". We don't live in a system of kangaroo Courts (well, at least not officially <D) so only a Court can impose a fine.

If what you are referring to is a Penalty Fare, this is something that might on the surface appear to be a fine because of the potentially penalty-like nature of the amount, and the confusion bred by the rail industry about what exactly it is and when it's appropriate to be issued.

To come to the question of record keeping, there is no one industry standard. Each TOC that issues Penalty Fares, Unpaid Fare Notices and the like have different procedures as to how long they keep details on their systems. They would have to justify the length they keep data on their system, due to the requirements imposed on them by the GDPR, but I suspect most would potentially be able to justify holding data for up to 6 years.

Have you, or has someone you know, been issued with a Penalty Fare or had some other kind of incident with a train company?

Yes, I have been issue a £20 penalty fare for losing my ticket once to Manchester Victoria, this was 6+ months ago and last month my details were taken for a separate incident, for having an invalid ticket.

So I was wondering if this £20 penalty fare would be on the system, as it was given to me on the spot I assumed it wasn't big so wouldn't be on the system anymore and therefore affect my current incident, am I wrong too assume this?

If your details were taken then it's safe to assume the incident has been uploaded to their systems. It also strikes me as highly unlikely that records of a Penalty Fare would have been deleted within 6 months.

In what way was your ticket invalid for the more recent incident?

I had purchased a ticket and I did not have the relevant railcard, so they sent me a letter and I have responded but still waiting for a reply and I am now very worried because I just remembered about this previous incident

Had the railcard been forgotten, recently expired or did you never have one in the first place?

Also, did the station at which you board have facilities to obtain a ticket?

I did not have the Railcard, I was in a rush and clicked on an option of Manchester with a concessionary discount and I did not notice this mistake as it worked like a normal ticket (I bought it from the machine as I would have most likely waited in a ling queue if i paid by cash). The previous incident happened 6 months ago, there was valid facilities to obtain a ticket, but I lost my ticket and paid £20 and I didnt' t think of this issue again until now.

And I usually pay by cash, as my card doesn't work with the machines sometimes.

My experience of Northern Ticket Machines is that you need to specifically add a railcard to a journey after choosing your destination and ticket type - Anytime, Off Peak, Return, Single.

To say that you rushed to select a Railcard ticket, unless there is a machine that specifically has this option and others may be able to advise, lacks credibility. To tell the same story when asked about the circumstances for your incident will not curry any favour with Northern Rail.

I am happy to be proved wrong for the sake of the OP, if anyone knows of a single press railcard ticket on a Northern ticket machine.

Details of offences held on our systems (through IRCAS) are indefinite, however tend to relate to where the person lives rather than the individual so if they move address, details aren’t necessarily kept. I say “aren’t necessarily kept” because there have been instances where there’s still a paper trail of ‘history’ for certain individuals even after being fairly transient.
