Thanks for the response, I will most likely be writing this up and sending it Monday by recorded delivery ( good idea? ) , obviously its going to be my neatest writing but does that have any sort of impact?

Not in my experience in dealing with correspondence, but I can't speak for whoever reads your letter!
It is the tone of what is said that is most important, and while it is nice to have a neat and tidy, professional looking letter, the person who makes the decisions will, or rather should, be far more interested in the facts than the presentation.
